
Credit Card on File and Financial Responsibility Policy
At Treehouse Wisdom and Wellness, we strive to make the billing process simple and hassle-free. To ensure smooth transactions, most patients are required to keep a payment method on file, referred to as a “Card on File.” This policy helps streamline payments, reduce administrative delays, and allows us to focus on providing quality care. Please note that we do not accept cash payments.

We accept a variety of payment options, including:
Health Savings Account (HSA)
Health Reimbursement Account (HRA)
Debit or Credit Card
Checking Account (ACH)
After Pay
Security and Privacy
We take your security seriously. All payment information is stored securely on an encrypted platform using Square, our secure payment systems. Treehouse does not store your financial information directly, and the therapists does not have access to your payment details.
Billing and Insurance Process
Co-pays (if applicable) will be collected at each visit.
We will submit insurance claims as usual. Once your insurance processes the claim, you will receive an Explanation of Benefits (EOB) detailing any remaining balance.
If you owe a balance, your card on file will be charged within a reasonable timeframe after insurance processing. If no balance is due, no charge will be made.
Authorization for Payment
By providing a card on file, you authorize Treehouse to charge your card for:
Co-pays, co-insurance, and deductible amounts
Self-pay fees
No-show or late cancellation fees
Any remaining balance after insurance reimbursement
If a payment is declined, new services may be paused until payment is received. If your card expires or becomes inactive, we ask that you update your payment information promptly by emailing: info@treehousewisdomandwellness.com
Missed Appointments and Late Cancellations
We understand that unexpected situations arise, but attending scheduled appointments is essential for your care.
A minimum of two (2) business days’ notice or 24 hours is required to cancel or reschedule without a fee.
If you miss an appointment or arrive more than 15 minutes late for a therapy session, you may be responsible for a late charge.
Insurance does not cover missed appointment fees. If an unavoidable emergency occurs, please notify your individual therapists. They may be able to provide a one-time courtesy waiver.
Understanding Your Financial Responsibility
Clients are responsible for any portion of services not covered by insurance. If your insurance provider later denies or recoups payment, you will be responsible for the remaining balance.
Self-Pay Patients
If you choose not to use insurance, payment is due at the time of service.
Good Faith Estimate
If you do not have insurance or choose not to use it, you have the right to a Good Faith Estimate outlining expected costs. If your bill is at least $400 higher than the estimate, you have the right to dispute it. Visit www.cms.gov/nosurprises or call 844-256-9902 for more information.
